1. Introduction

Welcome to BTA | Experience Design. By accessing our website and submitting a project request, you agree to comply with and be bound by the following terms and conditions. Please read them carefully before proceeding.

2. Services & Engagement

2.1 Project Request

All projects begin with a direct conversation. Engagement is confirmed only upon written agreement and receipt of deposit.

2.2 Payment

All financial arrangements are discussed and agreed individually, based on the scope and format of the project. A deposit is required to confirm engagement and initiate work. The deposit amount and payment schedule are outlined in the individual project agreement. All payments are processed in accordance with applicable Ukrainian legislation.

3. Cancellation Policy

3.1 Cancellations by Client

  • Cancellation terms apply to all confirmed projects.

  • They are outlined individually in each project agreement, as conditions vary depending on the format, scale and supplier commitments involved.

  • The applicable cancellation policy is provided together with the project budget and confirmed upon written agreement.

3.2 Cancellation by BTA

In exceptional circumstances, BTA reserves the right to cancel a project. In this case, a full refund of all payments received will be issued.

4. Confidentiality

4.1 Confidentiality by Default

All projects, client identities, company information, project objectives, locations, participants and outcomes are treated as strictly confidential by default. BTA | Experience Design does not disclose, reference or share any client-related information with third parties at any stage of engagement, from initial enquiry through project delivery and beyond, without explicit prior written consent from the client. A formal Non-Disclosure Agreement is available upon request for clients who require additional legal protection.

4.2 Intellectual property

All concepts, formats, creative directions, programme structures and experience designs developed by BTA | Experience Design remain the exclusive intellectual property of BTA | Experience Design. Our Сlient receives the right to use the delivered experience for its intended purpose. Reproduction, adaptation or transfer of any concept or creative material to third parties requires prior written consent from BTA | Experience Design.


5. Our Client Responsibilities

5.1 Accuracy of Information

Our Client is responsible for providing accurate and complete information regarding the project objectives, participants, budget and any specific requirements. BT | Experience Design cannot be held responsible for outcomes affected by incomplete or incorrect information provided by the client.

5.2 Timely Communication

Our Client is responsible for providing accurate and complete information regarding the project objectives, participants, budget and any specific requirements. BT | Experience Design cannot be held responsible for outcomes affected by incomplete or incorrect information provided by the client.

5.3 Confidentiality

Our Client agrees to treat all concepts, proposals, creative materials, programme structures and pricing information provided by BTA | Experience Design as strictly confidential. This information may not be shared with, reproduced for or transferred to any third party without prior written consent from BTA | Experience Design. This obligation remains in effect after the conclusion of the project.


6. Liability

BTA is not liable for circumstances beyond its control including force majeure, government restrictions, natural events or third-party failures. We recommend clients hold appropriate travel and event insurance.

7. Privacy

All personal data is handled in accordance with our Privacy Policy and applicable data protection law including GDPR.

8. Amendments to Terms

Any changes will be posted on this page. Clients with active project agreements will be notified directly.

9. Governing Law

These terms are governed by the laws of Ukraine. For international clients, disputes may be resolved through mutual negotiation or, where necessary, through internationally recognised arbitration procedures in accordance with the rules of a mutually agreed arbitration body.
